INDO is committed to protecting your personal data privacy. This privacy notice will show you what we do with any personal information that we obtain from you. By providing your personal information, you are accepting this Privacy Statement and agree that we may save and use your personal information, as described in section 3, below.
If you do not agree to this statement, please do not submit any forms from our website and contact us with your enquiry by telephone instead, letting us know at the same time that you do not want your personal information to be saved beyond the time period reasonably required to service your enquiry.
Please note this Privacy Statement is incorporated into, and is a part of, the website Terms and Conditions, which govern your use of the site in general. Your acceptance of the Terms and Conditions of use of this site, which include this Privacy Statement, constitute the granting of consent to the use and disclosure of your personal information for the purposes set out below.
2. What is personal data?
Personal data is information about you as an identified individual, (as defined by applicable law) whether as a private individual or business contact. It does not mean the kind of aggregated information that does not allow you to be identified (such as that provided by Google Analytics), but it does include business contact information such as your name, title, business address and business phone number.
3. Providing your personal data to INDO
You decide what personal information you provide to us. We will only collect personal information that you choose to provide and we will make it easy for you to select your preferred method of communication (e.g. by email, phone, post etc).
Generally speaking, you are choosing to provide us with your personal information if you:
- Contact us with an enquiry
- Register interest in a product or service either on the site or in response to an email or phone call from the sales team
- Request that we provide you with information, such as a lighting design, cost saving calculation or quotation
- Order a product from us
- Enter a competition or take advantage of a promotion
- Fill out a survey or other form with your personal information included
- You have the opportunity to decide whether or not to receive communications from us, except communications required by law or to administer any transaction requested by you, at any point where we request information about you.

4. How we use your personal data
INDO understands that your time is precious and that your email inbox should be respected. We will only send information that is of legitimate interest and either worth your while or of importance that you are made aware of.
With that in mind, we may use the personal information collected from you in one or more of the following ways:
For marketing communications
We may use your personal information in order to communicate with you about INDO’s products and services, provide summaries and links to relevant CPD topics and papers as well as inform you of upcoming industry events and promotions.
We do not disclose or share any data with any linked organisations or third parties, with the exception of our highly reputable email marketing service platform, Mailchimp – which enables us to operate a customer communication system. These systems are managed by the marketing department and synchronised using a ‘proprietary’ API so that database accuracy is maintained across both systems.
You can choose whether or not to receive such communications when you first provide personal information to us by ‘opting in’ to our marketing communications. You can unsubscribe at any time.
For marketing analysis
We may use information for internal marketing analysis, for example, to assess trends amongst our customers or to measure the amount of traffic to our websites. We may also share non-personal information with others, such as advertisers, in aggregate anonymous form, which means that the information will not contain any personally identifiable information about you. We do NOT share identifiable personal information with third parties.
For transactions
We may use your personal information in order to respond to your queries and requests regarding products and services and to manage the administration, fulfilment and delivery of your order. The personal information you provide may be shared with our financiers and bankers, or used by an authorised supplier (e.g. trusted courier) to satisfactorily fulfil your order.
In the event of sale or transfer
In the event of a sale, merger, consolidation, change in control, transfer of substantial assets, financing, reorganisation or liquidation, we may transfer, sell, or assign to third parties information concerning your relationship with us, including without limitation, personally identifiable information that you provide and other information concerning your relationship with us.
For legal purposes
We may collect, use and/or disclose your personal information if required to do so by law or where we believe such action is necessary in order to detect, protect or defend the company against error, negligence, breach of contract, theft, fraud and other illegal or harmful activity, to comply with our audit and security requirements, and to audit compliance with our corporate policies, procedures, legal and contractual obligations.
5. How long will INDO keep your personal data?
The personal data you provide to INDO is kept active and visible on our ERP system either until you ask us to unsubscribe or delete the record, or until such time as we find out that the record is no longer accurate, for example if you leave the company you are working for.
6. Your rights and choices
The accuracy of the information that we hold about you is really important to us and we are working hard to ensure our databases are always up to date, accurate and respectfully managed. If any of the information we hold about you isn’t right, please let us know by contacting us using the contact details below.
You have the right to:

- Restrict or object to any processing of your personal data

- Contact us about any concerns you have if you believe a breach of data protection has occurred
These rights may be limited in some situations – for example, where we can demonstrate that we have a legal requirement to process your data. If you wish to exercise these rights, please contact us using the details below.
In the event that you have contacted us about the misuse of personal data and feel we have not resolved those concerns, you have the right to complain to the ICO or other EU data protection authority.
7. Security
